No-Show Rate
No-show rate is the percentage of booked sales calls where the prospect doesn't turn up, calculated as missed calls divided by calls booked. It's the flip side of show rate.
What's a normal no-show rate?
It depends on what the person booked. A sales call is a bigger commitment than a free webinar, so far fewer people miss it once there's a real pre-call sequence behind it. My floor for a booked sales call on cold Meta traffic is a show rate of at least 80%, which keeps no-shows to a small slice of the calendar.
| Funnel | Show rate in my accounts | What happens to the no-shows |
|---|---|---|
| Booked sales call, cold traffic | 80% floor | Setter rebooks them, pre-call sequence runs again |
| Live webinar, cold traffic | Around 30% | The other 70% go to a next-day encore and a replay |
| Live webinar, organic traffic | 40 to 50% | Same encore and replay |
For the case studies: a brand-new agency offer booked 129 calls and 97 showed, a 75.2% show rate, while a high-ticket B2B SaaS account completed 85 of 93 booked calls.
Why does no-show rate matter?
Because every no-show still cost you the ad spend to book it and a slot on your closer's calendar. In that agency account a booked call cost $271.91, but once you count the people who didn't show, the cost per held call was about $362. The higher your no-show rate, the wider that gap gets, even if the ad account looks fine.
How do you lower no-show rate?
Fill the gap between booking and call. A setter call within 3 to 5 minutes of the booking, a confirmation page with short breakout videos, value-dense emails, retargeting, and a same-day message an hour or two before the call with the meeting link in it. In my accounts the confirmation page alone typically lifts show rate by 30% to 32%, and all four back-end systems together get it up to 39%.
What should you do with the no-shows you still get?
Don't write them off. A no-show doesn't mean the person isn't interested: something came up, or nothing pulled them back at the moment the call started. Text them within minutes, rebook them live into a specific time, run the pre-call sequence again, and move anyone who goes quiet into long-term follow-up.
FAQ
Is no-show rate the same as show rate?
They measure the same thing from opposite sides. Show rate is the share of booked calls that happen, no-show rate is the share that don't, and together they add up to all of your booked calls.
Is a high no-show rate a lead quality problem?
Usually not at first. Most of the time it means nothing is happening between the booking and the call. If the rate stays high after you build a pre-call sequence, look at who is booking, because that points back to the application.
